Three Steps to Easy Time Blocking

Are you a time blocker, or do you aspire to be a time blocker?

Time blocking is a popular scheduling technique used to proactively plan how time will be spent.

Instead of planning ‘interruptions’ (i.e., meetings), time blockers set aside chunks of time devoted to specific tasks.

For instance, you may decide to block out three hours each Tuesday and Thursday afternoon for writing; this will be your time during the week to focus on completing writing projects. If you are in sales, you may block an hour every morning for cold calling, or customer outreach.

Ready to get started? Here’s a simple way to time block your calendar.

  1. Determine the tasks you need to time block.
    Begin by thinking about which of your daily tasks need focused, dedicated time. Writing, customer calls, employee reviews, invoicing, design work, brainstorming are just a few examples.

    Identify and list two or three of these types of tasks for your week ahead.

  2. Determine how much time to block for each task.
    Now, look at your list and think about how much time you need to devote to completing that task.

    You may want to set your time blocks week-by-week as each week may be different for you. Over time, you may notice patterns to your weeks.

    For instance, if you’re the webmaster for your company, you may decide to dedicate three hours on the Wednesday of the last week of each month to  make website updates. Or, maybe you need to do website updates for one hour each Wednesday. With time blocking, you decide which blocks of time fit where on your calendar.

  3. Now, it’s time to schedule your blocks.
